Prepare and hand off a supplier order
Illustrative workflow; not a customer case study or a promised result.
- Owner
- Shift manager; the ordering team maintains the instructions.
- Trigger
- The location is ready to prepare its regular supplier request.
- Open the ordering system using sample records and check the location.
- Add the approved items and record the checks your location requires.
- Route discrepancies to the responsible manager before submitting.
- Confirm the order reference and hand it to the receiving shift.
Completion evidence
Order reference, completed checks, and receiving role. Use your approved purchasing and food-handling instructions where relevant.
How to evaluate the result
Compare missing items and follow-up questions across two shifts before expanding the procedure.
Prepare, handle exceptions and keep a record
- Before starting
- Approved purchasing list, location, supplier details and order cutoff defined by the responsible manager. Keep food handling and safety requirements in their approved procedures.
- When to pause
- If quantity, item or delivery information is unclear, pause submission and ask the ordering manager. Record the resolution before handing the order to the next shift.
- Completed sample record
- Illustrative order R-104; location DEMO-01; one item awaiting manager clarification; next owner evening-shift manager; submission remains pending.
- Acceptance check
- The receiving manager confirms the reference and open question. Check that a pending draft is not mistaken for a submitted order.
- Maintenance trigger
- Review after a supplier, ordering system or approval-rule change.

Make responsibility and the current version clear
Assign procedures to the kitchen, front of house, or the team accountable for the work. Use reviewed published versions as the reference and assign training when instructions change. Configure shared-location access instead of assuming every child team inherits every procedure.
What a useful pilot should prove
Test one opening or closing procedure with two shifts. Can each person find the right instructions and record completion? Can the manager identify missing evidence and request a correction? Use that feedback to refine the next version.
The tool organizes your approved instructions; it does not validate food-safety methods or replace local requirements, supervision, or practical staff training.
Build the first procedure your team will use
Create a workspace and start with one process. Bring existing text or use SOP Recorder on an eligible plan, then review the draft with the team that performs the work. Plan, storage, user, and AI limits apply.
